Post Holdings Administrative Assistant - 8th Avenue in St Louis, Missouri

Position Summary:

The Administrative Assistant provides high-quality administrative support enhancing the effectiveness of our leaders by providing office organizational support, promoting internal and external relationships on behalf of the organization and ensuring leaders’ time can be used most efficiently. Identifies and addresses the needs of senior leaders and performs administrative tasks to ensure our company’s workflow runs smoothly. This position will be responsible for scheduling and coordinating meetings, assisting with travel arrangements, and organizing daily agendas. The administrative assistant should be proactive, meet deadlines and communicate effectively. This position also receives direction from and works closely with the Executive Assistant and Office Manager for 8 th Avenue Food & Provisions.

Duties And Responsibilities:

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics

  • Provides office management support including overseeing all office repairs and working with building maintenance; liaisons with on-site vendors; coordinates with Executive Assistant on space planning, facility needs, etc.

  • Approve/code invoices weekly, assist with management of A/P inbox

  • Conserves executives’ time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

  • Maintains executive calendars by planning and scheduling meetings, conferences, teleconferences, and travel.

  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.

  • Maintains customer confidence and protects operations by keeping information confidential.

  • Completes projects as assigned; following up on results.

  • Prepares reports by collecting and analyzing information.

  • Provides historical reference by developing/utilizing filing systems; recording meeting discussions.

  • Maintains office supplies inventory by determining inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

  • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.

  • Other duties, as assigned

Education And Experience Required:

  • High School diploma or equivalent

  • 3 years of Administrative Assistant related experience or similar role

Preferred Education, Experience, And Skills:

  • Additional administrative qualifications/certifications are preferred

Required Competencies & Knowledge:

Knowledge of:

  • Knowledge of office procedures

  • Familiarity with online calendars and cloud systems

  • Experience using office equipment, including printers and fax machines

  • Strong communication skills (via phone, email and in-person)
